Quick Start for Finance Ops

Use this routine to keep finance operations predictable and audit-ready. By establishing a set rhythm, you prevent the end-of-month panic associated with closing the books.

Daily Rhythm

The daily checks ensure cash keeps flowing and exceptions are caught early.

  1. Generate Invoices

    Draft and send any invoices due for the day, pulling directly from the Service Catalog.

  2. Review Collections Queue

    Check the AR Collections module. Action any high-priority overdue accounts that require a manual phone call.

  3. Capture Expenses

    Log and categorize any same-day business expenses to prevent receipt backlog.

Weekly Rhythm

The weekly checks are for reconciliation and variance tracking.

  1. Run AI Reconciliation

    Import the week's bank statement and match payments to open invoices.

  2. Validate Expenses

    Review the week's high-value expense entries to ensure they are categorized correctly and have receipts attached.

  3. Review Cash Flow

    Check the 90-day Cash Flow forecast to ensure no liquidity warnings have been triggered.

Monthly Rhythm

The monthly checks finalize the period and provide leadership reporting.

  1. Close the Invoice Cycle

    Ensure all recurring retainers have generated their monthly invoices.

  2. Generate Management Reports

    Use the Reporting Center to export the P&L, AR Aging, and Tax Liability summaries.

  3. Evaluate Renewals

    Review retainers expiring in the next 30-60 days and notify account managers to initiate renewal conversations.
